Know who approved
every invoice.
Quantafirm routes every invoice to the right approver, flags exact duplicates before they are approved, and keeps a record of every decision, so approvals no longer live in email.
The problem
Email is not an approval system.
Finance teams at growing companies are approving invoices over email, Slack, and spreadsheets. The results are predictable.
Duplicates
paid twice
when the same invoice arrives by email and nobody checks it against past payments
Delays
approvals stuck in inboxes
when sign-off depends on someone replying to a thread
No trail
no record of who approved
in email chains, so an audit means digging through inboxes
Business email compromise accounted for about $3.05 billion in losses reported to the FBI in 2025, second only to investment fraud.
Source: FBI Internet Crime Complaint Center, 2025 Internet Crime Report76% of US organizations experienced attempted or actual payments fraud in 2025, and 74% were affected by business email compromise.
Source: AFP 2026 Payments Fraud and Control Survey (465 treasury practitioners)These figures describe payments fraud in general, not Quantafirm results. Approvals that live in email are hard to verify and hard to audit. Quantafirm adds enforced sign-off and a record of every decision.
Product
Everything your AP team needs.
Nothing they don't.
Approval policy
One approver. Two. Three. However your team actually works.
Most approval software assumes you already have a Manager, a Finance lead, and a CFO all reviewing invoices. Quantafirm doesn't assume anything. Your CFO sets the rule — a single approver with auto-approval for small amounts, a two-person setup, or a three-person chain with required combinations — and the same policy engine handles all of it. No forced structure. No hiring to fit the software.
Duplicate detection
Catch duplicates before they reach an approver.
Quantafirm flags exact matches on vendor, amount, invoice number, and date before an invoice enters the workflow. Each client's detection runs on isolated data — no cross-tenant false positives. Near-match (fuzzy) detection is on the roadmap.
Payment status tracking
Reversing a payment isn't a quiet edit. It's a controlled decision.
Once an invoice is marked paid, Quantafirm tracks its payment status as its own lifecycle — paid, paid externally, or under reversal — not just a checkbox. If a payment needs to be undone (duplicate, wrong invoice, failed payment, refund), whoever requests the reversal cannot also approve it. A different CFO or Admin has to sign off. It's the same segregation-of-duties control auditors expect from a finance team, enforced by the system instead of relying on someone following policy.
Audit trail
An append-only record of every decision.
Every upload, approval, rejection, comment, and policy change is recorded with timestamp, actor identity, role, and IP address. Audit records are append-only: the application provides no way to edit or delete them. When your external auditors ask who approved INV-2026-0891 and why — the answer takes three seconds, not three days.
ERP export
Approved invoices export in formats your accounting system can import.
Approved invoices export as CSV or Excel, with ERP export templates for QuickBooks, Xero, NetSuite, and Sage on Growth and higher plans. Your team imports the file into the accounting system — no re-keying from PDFs. Direct integrations are on the roadmap.
Pricing model
Unlimited users.
No per-seat pricing.
Most AP automation tools charge per user. Add an initiator? Pay more. Invite your CFO? Pay more. Bring in external auditors? Pay more.
Quantafirm charges based on invoice volume — the work your finance team actually performs. Invite everyone who needs access. Your cost doesn't move.

Simple, volume-based pricing.
No implementation fees. No per-seat charges. Pricing scales with the work your finance team does.
